Required Setup: In order to view this page, you must be assigned the General Manager role, or a custom role that includes the "Solution" permission.

Scope: This feature is available in all versions of Kigo.

About the Setup Page

From the Setup page, you can control how the Kigo booking engine operates. You can configure a variety of settings here, including:

  • Booking Settings: This allows you to determine how far in advance bookings can be created, the default online booking mode, as well as property defaults such as check-in times, check-out times, and default hold times.
  • Payment Method Settings: This allows you to select allowable payment methods.
  • Rate Display Settings: This controls how rates are displayed on Kigo web sites and third-party booking channels.
  • Rate Display: This section allows you to further customize how rates are displayed, and how taxes, fees, and deposits are calculated.
  • Rate Calculation Rules: This section allows you to customize rate locking, and prorating methods.
  • Third Party Owners: This section allows you to customize owner features.
  • Rental Policy: This section allows you to modify the rental policy.
  • Booking Disclaimer: This section allows you to modify the booking policy.
  • Tape Chart Default Settings: This section allows you to customize how the Calendar page displays.
  • Rate Setup: This section allows you to customize and create multiple rate sections based on length of stay.

    When making changes to the Setup page, make sure to click Save. Otherwise, your changes will not be retained.

Field Definitions

Booking Settings

BookingSettings

  • Allow Booking Up to This # of Days in Advance: This is the maximum number of days in advance that a guest will be able to make a booking. For example, if you want guests to be able to book properties up to a year in advance, enter "365" here. Remember you also have to have rates set for the properties for this same amount of time.
  • Allow Bookings This # of Days From Today: This can be used to restrict prospective guests from making last-minute bookings. For example, if you want all reservations to be made at least 24 hours in advance, enter "1" here. If you want guests to be able to make same-day bookings, enter "0" here.
  • Default Online Booking Mode: This controls how guests interact with Kigo web sites globally. You can also control these options on a property-by-property basis. There are two options available:
    • Inquiry Only: When this option is selected, prospective guests can only submit inquiries online. The guests cannot make the reservations directly, and the inquiries should be treated as leads in order to finalize the booking. Using this configuration, the property is not removed from availability until the booking is finalized.
    • Make Booking: When this option is selected, prospective guests can create bookings online. This creates the reservation and removes the property from availability. If needed, you can set the default booking mode to Make Booking, and then disable the ability to make online bookings for specific properties.
  • Default Check-In Time: This is the default check-in time.
  • Default Check-Out Time: This is the default check-out time.
  • Set Default Booking's Hold Time: This defines how long a booking will be held (in hours). For example, if you wish to hold an unconfirmed booking for one day, you would enter "24" here. This is the default setting, and can be overridden as needed on a per booking basis.
  • Default Min Night Stay for New Units: This defines the default minimum length of stay requirement that is assigned for new units. This is only a default setting and can be changed at any time while creating or maintaining units.
  • Per Person Pricing Includes Children: If this option is selected, the per person rates will increment for adults and children. For example, if this option is selected, and a person books a property for two adults and one child, the rate will reflect a three person occupancy. If this option is not selected, the same scenario will reflect a two person occupancy rate, since the child will not be included. This option is only applicable if you are using the Per Person Rate Mode.
  • Auto Cancel Failed Payment Booking: Select this option if you want bookings to be automatically canceled if the payment method fails, and payment is not collected. For more details on failed payments, you can check the History section of the booking.

Payment Method Settings

From here, you can choose which credit card to accept. If you have questions about which credit cards you should select here, contact your credit card processor. Possible options include:

  • Visa
  • MasterCard
  • American Express
  • Maestro
  • Discover
  • Diners Club

Rate Display Settings

This section allows you to customize how headline rates are displayed on Kigo web sites. This only affects the rates displayed for advertising purposes. Once the guests make a booking, they can view more detailed financial information about the booking. This section controls the following aspects:

  • The text and rate to display if dates have not been supplied by the guest
  • The text and rate to display if the guest has specified check-in and check-out dates
  • If taxes, fees, and deposits are itemized or consolidated into a single service amount.

Each is described below.

  • With Dates Supplied: When a prospective guest provides the dates of their stay on a Kigo web site, how should the rates be displayed online? Possible options include:
    • Total Cost of Stay: If this option is selected, the total estimated cost of the stay will display, including rental amount, taxes, fees, and deposits.
    • Avg. Nightly Rate for Entire Stay: If this option is selected, then the advertised rate displays the average rental rate for a single night in the unit. The advertised rate does not include taxes, fees, or deposits. Another way to express this is: Total Rental Amount/Number of Nights.
    • Rate for Lowest Applicable Length of Stay: If this option is selected, then the advertised rate for the lowest applicable length of stay will display. The advertised rate does not include taxes, fees, or deposits. This option may be useful if your property has long term guests, or you have multiple length of stay rates, such as weekly and monthly rates.
    • Rate for Highest Applicable Length of Stay: If this option is selected, then the advertised rate for the highest applicable length of stay will display. The advertised rate does not include taxes, fees, or deposits. This option may be useful if your property has long term guests, or you have multiple length of stay rates, such as weekly and monthly rates.
    • Display Rate Range if Applicable: If this this option is selected, then the date range will also display with the rates, when the date range is available.
  • No Dates Supplied: When a prospective guest does not provide a date range while using a Kigo website, how should the rates be displayed online? Possible options include:
    • Lowest Available Rate based on Lowest Length of Stay: If this option is selected, then the advertised rate is the lowest rate for the lowest applicable length of stay. The advertised rate does not include taxes, fees, or deposits.
    • Lowest Available Rate based on Highest Length of Stay: If this option is selected, then the advertised rate is the lowest rate for the highest applicable length of stay. The advertised rate does not include taxes, fees, or deposits.

Rate Display

The options in this section control the verbiage used when displaying rates on Kigo web sites.

SampleYourRate

  • No Dates Supplied: By default, this is set to "From," but can be modified as needed. The term or terms you enter here should signify that this is not an exact rate, since the date information cannot be used to supply a specific rate.
  • With Dates Supplied: By default, this is set to "Your Rate," but can be modified as needed.
  • No Rates Avail Text: By default, this is set to "No Rates Available," but can be modified as needed.
  • Consolidate Taxes into Service Total: When selected, taxes are included in the rental rate. If this option is not selected, then taxes are itemized as a separate line item on the guest's online booking statement. This does not affect how taxes are displayed in Kigo, only how taxes are displayed during the online booking process using a Kigo web site.
  • Consolidate Fees into Service Total: When selected, fees are included in the rental rate. If this option is not selected, then fees are itemized as a separate line item on the guest's online booking statement. This does not affect how fees are displayed in Kigo, only how fees are displayed during on online booking process using a Kigo web site.
  • Consolidate Deposits into Service Total: When selected, deposits are included in the rental rate. If this option is not selected, then deposits are itemized as a separate line item on the guest's online booking statement. This does not affect how deposits are displayed in Kigo, only how deposits are displayed during the online booking process using a Kigo web site.

Rate Calculation Rules

  • Lock Rate in on Day of Check in: This setting controls how rates are calculated during a stay. If you select this option, the guest will be charged the same rate each night of their stay, based on the first night's rental amount. If this option is not selected, the rate may be variable, based on the rate structure defined for the property.

    For example, a property has a normal nightly rate of $100/night, with a weekend rate of $150/night for Friday and Saturday nights. A guest checks in on a Wednesday for four nights. Here are the differences in rate calculation:

    If this option is selected....

    The rate will be locked based on the first night's rental amount, so the guest will pay $100 for each night of the stay, including weekend nights.

    The total rental amount charged for four nights is:

    $100 * 4 = $400

    If this option is not selected...

    The rate is variable. The $100/night rate is charged for Wednesday and Thursday nights, and the $150/night rate is charged for Friday and Saturday nights.

    The total rental amount charged for four nights is:

    ($100 * 2) + ($150 * 2) = $500

  • Prorate Rates Based on Highest Length of Stay: This setting controls how length of stay rates are applied.

    For example, if a property has a daily rate of $100, a weekly rate of $500, and the guest stays for nine nights, here are the differences in rate calculation:

    If this option is selected....

    The guest is charged $500 for the first week, and $71.43 for each additional night, since this is the prorated amount per night (500/7).

    The total rental amount charged for nine nights is:

    $500 + ($71.43 * 2) = $642.86

    If this option is not selected...

    The guest is charged $500 for the first week, and an additional $100 for each additional night. The additional nights are not prorated to the weekly rate, and are charged at the daily rate instead.

    The total rental amount charged for nine nights is:

    $500 + ($100 * 2) = $700

  • Rate Mode: There are three ways to define rates for your properties or units, depending on your requirements. Each is described below:
    • Standard: In this mode, one set of rates is defined for a property/unit. The standard rate mode must be used if you want to enter rates using the Rates & Availability page.
    • Per Person: In this mode, a rate structure is defined that increments for each potential guest, instead of one standard rate for the unit. For example, if a unit sleeps four, then there will be a rate defined for one guest, two guests, three guests, and four guests.
    • Per Room: In this mode, you have the ability to adjust unit rates by room. In this instance, you can choose to lock some of the rooms in a large house or unit so that you can rent the property at a reduced rate, increasing potential revenue, by renting a unit that may have otherwise gone vacant. In this mode, a rate is defined for each number of rooms that can be rented. For example, a three-bedroom home would have rates for one bedroom (with the other two bedrooms locked), two bedrooms (with one bedroom locked), and three bedrooms.

3rd Party Owners

  • Enable 3rd Party Owner Features: When this option is selected, you can run commission statements for owners. If you choose this option, save your changes to the Settings page to see additional options.
  • Hide Renter Info in Owner Extranet: When this option is selected, private guest information (such as name, address, and contact information) is not displayed on the owner extranet. This option only displays if the Enable 3rd Party Owner Features option is selected.
  • Hide Statement Info from Owners: When this option is selected, the owner cannot view booking statements, which lists rent amounts, fees, taxes, and totals.

Rental Policy

In this section, you can customize the rental policy that is displayed to prospective customers on Kigo web sites.

  • Summary (title): This is the title of the Rental Policy. This can be customized, if needed.
  • Summary (body): This is the body content of the Rental Policy. This can be customized, if needed.

Booking Disclaimer

In this section, you can customize the Booking Disclaimer, which lists any disclaimers or disclosures that you want to include.

  • Summary (title): This is the title of the Booking Disclaimer. This can be customized if needed.
  • Summary (body): This is the body of the Booking Disclaimer. This can be customized if needed.

Calendar Default Settings

Use the settings in this section to determine how the default display options for the Calendar page.

  • Num Days Ahead: This is the number of future days that you can view in the future on the Calendar.
  • Num Days Behind: This is the number of days in the past that you want to be viewable on the Calendar.
  • Num Props: This is the maximum number of properties that you want to display on the Calendar.
  • Legend View: This is the default status of the Calendar legend. Possible options include:
    • Type: If you choose this option, the Calendar highlights bookings based on how they were created. Using this view, you can quickly differentiate between bookings created using Kigo and bookings created online.
    • Booked By: If you choose this option, then the Calendar shows which Kigo user created the bookings.
    • Status: If you choose this option, then the Calendar shows the current status of the booking, such as confirmed, pending, or checked-in.
    • Payment: If you choose this option, then the Calendar shows the financial status of each booking, such as paid in full or overdue.

Rate Setup

This section defines length of stay settings, and the verbiage that Kigo uses on Kigo web sites when referring to different lengths of stay. When you enable a length of stay entry here, the entry is added to the rate structure for all properties and units.

  • Length of Stay: This is the number of nights that defines the length of stay. For example, if you want to create a weekly rate, enter 7 as the Length of Stay.
  • Description: This is a description of the rate period. Common examples include Daily, Weekly, Monthly, and Yearly. This description is used to identify the rate throughout Kigo and Kigo web sites.
  • Singular Prompt: This is a singular descriptor of the length of stay period. For example, a singular prompt for a weekly rate would be week (as in "one week"). This is used to describe the rate throughout Kigo and Kigo web sites.
  • Plural Prompt: This is a plural descriptor of the length of stay period. For example, a plural prompt for a weekly rate would be weeks (as in "two weeks"). This is used to describe the rate throughout Kigo and Kigo web sites.
  • Display as Avg. Nightly: When selected, the rate displayed in Kigo and Kigo web sites is based on the average nightly rate, instead of the actual rate.
  • Enabled: When selected, the length of stay setting is available for defining rates.
