Scope: This feature is available for all versions of Kigo.

About the Occupancy Dashboard Page

The Occupancy Dashboard page displays essential key performance indicators and graphs that include key metrics like occupancy, average daily rate (ADR), revenue per available unit (RevPAU), and revenue breakdown. Use this dashboard to easily track all your Key Performance Indicators (KPIs) month over month, and measure what matters most to you at a glance.

For the Occupancy Dashboard page to be accurate, you must have the information for the units at the properties entered on the Edit property or New Property page in the Units tab. Specifically, each unit must have either a sunrise date or a sunset date. Refer to New/Edit Property for more information.

Occupancy Dashboard Page

  1. Filters: The filters let you select the information that you want to view. You can choose the start/end date, property, property category, owner, property tag, territory, and timeframe (month, week, or day). You can also choose to compare the information to the same information for the previous year.
  2. Performance Indicators: The performance indicators provide occupancy details on the overall performance for all selected properties during the selected timeframe. For example, you can view the total nights between March 1, 2017 and June 30, 2017. To view additional information about the performance indicators, move your cursor over the Information icon Information button of each indicator.
  3. Charts: The charts provide an at a glance view of the key performance indicators for all selected properties during the selected timeframe. The charts included show your guest occupancy percentage, total/available/booked nights, revenue per available unit, revenue breakdown, and average daily rate. To view additional information about the bars and points in the charts, point to them with your cursor.
  4. Grid: The grid provides a list the performance indicators during the selected timeframe for each property selected. To sort the information in a column by a specific performance indicator, click the name of the performance indicator at the top of the column. To export the information in the grid to an Excel file, click the Export button.

Field Definitions

Filters

  • Start: Click the calendar, and select the starting date based on check-in booking data. Adjusting the start date lets you view occupancy at either a macro or micro level.
  • End: Click the calendar, and select the ending date based on check-in booking data. Adjusting the end date lets you view occupancy at either a macro or micro level.
  • Property: In the list, select the properties you want to view, or select Select All to include all properties. Only properties with active sunset dates are available in this drop-down list. Optionally, you can search for a property by typing it in the Search field.
  • Property Category: In the list, select the specific types of properties you want to view, or select Select All to include all property categories. Optionally, you can search for a property category by typing it in the Search field.
  • Owner: In the list, select the specific owners you want to view or select Select all to include all of the owners in the list. Optionally, you can search for owners by typing their name in the Search field.
  • Property Tag: In the list, select the property tag you want to view or select Select all to include all of the property tags in the list. Optionally, you can search for owners by typing their name in the Search field.
  • Territory: In the list, select the territories you want to view or select Select all to include all of the territories. If you don't have any territories created, there are no options available in the list. Optionally, you can search for the territory by typing its name in the Search field.
  • Group By: In the list, select the Month, Week, or Day option. The information in the charts updates to the selected grouping.
  • Compare with Previous Year: Select this check box to add the prior year's data to the charts. The prior year's data appears as gray bars next to the current year's data. Clear the check box to exclude the prior year's data from the charts.

Performance Indicators

  • Total Nights: This is the total number of nights multiplied by unit count for the selected timeframe.
  • Bookable Nights: This is the total count of available (not blocked out) nights multiplied by the unit count for the selected timeframe.
  • Owner Nights: This is the aggregate count of owner-booked nights within the specified timeframe.
  • Guest Nights: This is the aggregate count of guest-booked nights within the specified timeframe.
  • Guest Bookings: This is the aggregate count of guest bookings within the specified timeframe.
  • Guest Occupancy %: This is the ratio of rental units occupied versus the total number of units during the selected timeframe. We calculate this as (Total Number of Units Occupied / Total Number of Units) * 100.
  • Average Daily Rate (ADR): This is the average price paid per unit, excluding taxes, commissions, and deposits. This performance metric assesses the total guest unit revenue for a specific period versus the total amount of unit revenue paid and occupied units within the same timeframe. We calculate this as Unit's Revenue Earned / Unit's Occupied (over a specific time).
  • Revenue per Available Unit (RevPAU): This indicates the success the Property Manager is having at filling units at the properties. If the RevPAU is increasing, this means that either the property rates or Occupancy Rate are rising, or both. We calculate this as Total Unit Revenue / Total Units Available. This amount excludes taxes, commissions, and deposits.
  • Net Revenue: This is the total amount paid by guests for all guest reservations. We calculate this as (Rent + Fees + Misc) - Discount.

Grid

  • Property: This is the name of the property.
  • Total Nights: This is the total number of nights multiplied by unit count for the property during the selected timeframe.
  • Bookable Nights: This is the total count of available (not blocked out) nights multiplied by the unit count for the property during the selected timeframe.
  • Owner Nights: This is the aggregate count of owner-booked nights within the specified timeframe.
  • Guest Nights: This is the aggregate count of guest-booked nights within the specified timeframe.
  • Guest Bookings: This is the aggregate count of guest bookings at the property within the specified timeframe.
  • Guest Occupancy %: This is the ratio of rental units occupied at the property versus the total number of units at the property during the selected timeframe. We calculate this as (Total Number of Units Occupied at the Property / Total Number of Units Available at the Property) * 100.
  • Avg. Daily Rate: This is the average price paid per unit at the property. This performance metric assesses the total guest unit revenue at the property for a specific period versus the total amount of unit revenue paid and occupied units at the property within the same timeframe. It is calculated as Unit’s Revenue Earned / Number of Units Occupied (over a specific time).

  • Update: Updates the information on the page based on changes to the filters.
  • Export: Exports the grid to an Excel document.

Guest Occupancy %

This chart shows the average percentage of guest occupancy based on your filter selections.

Guest Occupancy Percentage

  1. The vertical axis represents the occupancy rate percentage.
  2. The horizontal axis represents the selected timeframe. The application bases the dates on your start/end date and your group selection (by day, week, or month).
  3. The gray bars represent the guest occupancy percentage for the previous year. Place your cursor over the bar to view the guest occupancy percentage for that date. This bar only appears if you select the Compare with Previous Year check box.
  4. The light gray line represents the trend of guest occupancy for the previous year. This line only appears if you select the Compare with Previous Year check box.
  5. The light blue line represents the guest occupancy trend for the selected timeframe.
  6. The dark blue bars represent the guest occupancy percentage for the selected timeframe. Place your cursor over the dark blue bar to view the guest occupancy percentage for that date.

Total/Available/Booked Nights

This chart compares the total, available, and booked nights based on your filter selections.

Total/Available/Booked Nights

  1. The vertical access represents the number of nights. These are the combined nights for all of the selected properties.
  2. The horizontal axis represents the selected timeframe of the bookings. The application bases the dates on your start/end date and your group selection (by day, week, or month).
  3. The green section represents the nights that guests booked. These are the combined nights booked by guests for all of the selected properties. Place your cursor over the section to view the exact number of guest-booked nights for that day/week/month.
  4. The yellow section represents the nights that owners booked. These are the combined nights booked by owners for all of the selected properties. Place your cursor over the section to view the exact number of owner-booked nights for that day/week/month.
  5. The black section represents the block outs, where the property is not available for use, and no one can book it. Place your cursor over the section to view the exact number of owner-booked nights for that month/year.
  6. The blue dots represent the total number of available nights for the day/week/month. Place your cursor over the dot to view the total number of available nights for that day/week/month.

Revenue per Available Unit

This chart shows the average revenue based on your filter selections

  1. The vertical axis represents the amount of revenue.
  2. The blue bar represents the amount of revenue per available unit for the day/week/month. Place your cursor over the blue bar to view the revenue per unit for that date.
  3. The light blue line represents the trend of revenue per available unit for the selected timeframe.
  4. The horizontal axis represents the selected timeframe. The application bases the dates on your start/end date and your group selection (by day, week, or month).
  5. The light grey line represents the trend of revenue per available unit for the previous year.
  6. The dark grey bar represents the amount of revenue per available unit for the day/week/month one year prior.

Revenue Breakdown

This chart shows the breakdown of revenue based on your filter selections.

Revenue Breakdown Chart

  1. The vertical axis represents the revenue amount.
  2. The horizontal axis represents the selected timeframe. The application bases the dates on your start/end date and your group selection (by day, week, or month).
  3. The blue dot represents the net revenue for the date. Place your cursor over the dot to view the net revenue for that day/week/month.
  4. The bars represent the breakdown of revenue for that date. Each section of the bar represents a different portion of the revenue. Place your cursor over the dot to view the amount the bar represents. The sections of the bar can include the rent, fees, discounts, insurance, tax, commissions, deposits, discounts, and other miscellaneous values.

Average Daily Rate

This chart shows the average daily rate based on your filter selections.

  1. The vertical axis represents the rate amount.
  2. The horizontal axis represents the selected timeframe. The application bases the dates on your start/end date and your group selection (by day, week, or month)
  3. The grey bar represents the average daily rate for the day/week/month one year before your selected timeframe. Place your cursor over the bar to view the average daily rate for that date.
  4. The blue bar represents the average daily rate for the day/week/month during your selected timeframe. Place your cursor over the bar to view the average daily rate for that date.
  5. The light blue line represents the trend of the average daily rate for the selected timeframe.
  6. The light grey bar represents the trend of the average daily rate one year before the selected timeframe.

Required Settings

Unit Sunrise/Sunset Setting

For maximum data accuracy, please follow these guidelines:

  1. All units should have a sunrise date when available in the market.
  2. Please make sure to add a sunset date for all units that are inactive.
  3. If you are taking the unit off the market, please make sure to apply a sunset date.
This setting allows you to be able to display historical data accurately through the occupancy dashboard.
